Selection

The document being viewed will have a blue background in the results list. This background highlighting will change to white when a different record is selected.

Most of the functions (export, similarity search, analysis etc.) are accessible only after one or more documents have been selected. Then, the buttons appear in the toolbar. With a right click, you will bring up a list giving you the option to display the labels of one of all of the buttons.

You can select all documents in the list by clicking on the Select button once or clicking on the small arrow to the right of the Select button and selecting All records from the dropdown menu. All selection boxes next to the records in the list are then checked and the documents in the list of results appear on a yellow background.

All the documents displayed on a page can be selected by clicking on the check box in the column header next to the Title column header or by clicking on the Select button and selecting Current page. Documents can be selected one by one by clicking on the check box next to each document or by using the Range option given by the Select button. With that, you set the beginning and end list numbers of the families you want to select and then click OK.

To deselect, click None.

Permaliens (Brevets uniquement)

You will receive an email with the list of publication numbers and titles in the email's body. Clicking on a number brings up the document's details (Bibliography with Image only).

Place in the recycle bin (function reserved for experts)

Documents can be removed from workfiles using the Send to recycle bin button..The selected documents marked as deleted are sent to the recycle bin.

Documents remain in the trash for 30 days after being transferred, and are then permanently deleted from your portfolio.

Records can by individually marked via the Preview tab or by making a selection of several records at the hitlist level and using the Send to recycle bin button there.

Until you use the Empty the recycle bin command, records can be restored to their original workfiles by first selecting the ones you want to restore and then clicking on the Restore checkmark at the top of the hitlist. Individual records can be restored by clicking on the Restore checkmark in the Preview pane on the right.

Records in the Recycle bin are searchable.

Mark as read/unread (function reserved for experts)

The document on which you placed is displayed on a blue background. Viewing the records in at the hitlist level with preview tabs on the right is not considered to be 'reading' of documents. The hitlist icons will initially appear like this:  . The titles of the documents are clickable and will open the record, allowing you to view information equivalent to the reading of the paper document. Read documents will have the following icon:  .

It is possible to mark a selection of documents as read or unread from the toolbar. Following a selection of unread documents, click the green checkmark to Mark as read or the white checkmark to Mark as unread.

From the right-side Preview tab, you can mark a document as read or unread by clicking the Mark as read or the Mark as unread button.

The workfile Filter can be used to filter out read/unread records.

Update (function reserved for experts) (patents only)

The Update button bring any new data available for a records in the workfiles in from the live database. This update is manual and can be done on a batch of documents. Updated documents are indicated by the UPDATED! note in the title, which remains for a week from the date of update.

You will receive an email notifying you that the documents have been updated in your portfolio. The content of the email notification is selected from the User settings>Workfiles menu.

Block (function reserved for experts)

Blocking documents is useful when you feel that certain records in your workfile are undesirable. A blocked document (and its family) cannot be exported from the workfile or modified manually or by an alert. Blocking is specific to the original folder.

Documents can be blocked using the Block button in the hitlist toolbar or by using the Block button in the Preview pane of individual records. You can block a record and its family for the workfile it is in or across your entire portfolio.

Two options :

-     Block this document in this workfile : this document will be blocked only in this workfile. If you import this family again, in this workfile only, there will be no import. No impact on other workfiles. It is useful for an alert workfile.

-     Block this document for the whole portfolio: this document will be blocked for all the workfiles in your pool, even the workfiles to which you have no access. This block is done at the portfolio level, or in other words for all users on your pool.

Precision : if a family is present in many workfiles before the blocking action, these documents will not be moved or hidden. This block is only for the future actions on these documents or adds.

Documents marked as blocked are sent the Blocked bin. They will no longer appear in their original workfiles. The icon for these documents is as follows: .

From the Preview tab, you can also individually mark documents as blocked with the Block for portfolio or Block for workfile buttons.

Blocked documents are searchable. From the Undesirable Patents workfile, they can be exported or manually updated, but will remain blocked. They will only become visible if you ask to unblock them. They will then rejoin their original workfiles.

Adding them back to the initial workfiles is done using the Unblock button for document selection, or the Preview tab for individual marking.

Sort

The Sort button is available for a hitlist of up to 5000 families.

Print

You can change to display with the Display button of you wish to print the list in a different format:  Compact, Abstracts, KWiC, Drawings, and Custom display.

The printer icon will print the list of results as it appears in the display.

In addition to printing the list, you can save it from the printer-friendly view.
