Exports

A selection of documents may be exported in different formats and containing various information.

Multiple export options are available and whatever options you choose two windows will always be shown :

      Export options: you define the parameters and the data to be included

      Reception: you choose how you would like to receive the information

Export options

TXT Format: You can export in Complete format (numbers, title, abstract, classifications, inventors, assignees, agents, designated countries, claims, description, user-assigned rank [number of stars], date of entry into workfiles module, and the family table) or a custom format. The Composebutton offers a list of data to export in various combinations. Clicking the Ok button validates the selection and begins the export process.

The title, abstract, claims and description are those of the representative member of the family, as defined in you user preferences. The other data exported are those of the whole family.

You can include user-defined fields, notes, the date of first reading, the date of import into the workfile, the last date the record was updated in the workfile, classification and first page drawing in TIF or PNG format, the directory or the workfile.

For the designs records, the export of all images is possible by checking the associated box.

PDF Format: you can choose between two formats: first page of patent (presentation as a facsimile of patent) or classic (without particular layout). You can export the highlight applied to the selected documents.

With the model first page of patent, personal fields, notes, the date of first reading, the date of import, the date of update, the classification, the Info key, the claims, description and citations patents and other literature, the directory or folder can be included in the export.

With the classic model, you have the choice between full or custom (data are the same as the TXT export). You can request a break pages between documents and include in export terms highlighted, personal fields, notes, the date of first reading, the date of import, the date of update, the classification, the drawing of 1st page, all drawings, directory, or folder.

For drawings and models, there are no models to choose. You can export all images and select complete or custom. You can request a break pages between documents and include in export terms highlighted, the personal fields, notes, the date of first reading, the import date, update date, classification, the directory or folder.

RTF format: The exported file will be a Word file. The templates and data are the same as PDF format.

XLS or XLSX Format: the exported file will be an excel table. You can choose Complete or Custom (see Format TXT). You can also include the drawing from 1st page, the key information, citations, patents and other literature, the custom user fields, the notes, date of first reading, import date, date of updating, ranking, the full headings of columns, directories and workfiles.

XLSX beta Format: This is the same file format as the XLSX with better content presentation and an improved interface. The latter contains customization assistants; on the left-hand side, you have the available fields and on the right, user selected fields. The icon allows  you to choose from the different subfields available. The text in grey next to this icon indicates the selected subfields.

Export of the Legal status field is now divided into 4 parts: Family legal status, Member legal status, Family legal state and Member legal state.

You will find in the Advanced Options, several export possibilities (1 family/patent/publication per line, choice of the numbers displayed, column headers, highlighting, size compression).

The two reception options (download/e-mail) are available in the bottom right of the wizard.

For drawings and models, you can export all the pictures.

CSV Format (only for families of patents) : the data to be exported is the same as the data in XLS format.

XML Format : you can export in XML format, Complete or compact. The export data are Complete or Custom, and it is possible to include the custom user fields, notes, date of first reading, import date, date of updating, ranking, the drawing from 1st page in .tif or .png format, the directory or the workfile. In XML compact you can choose a link to the pictures or the pictures themselves in a .zip file.For drawings and models, you can export all the pictures.

Format Bizint (only for families of patents): this format works with the Bizint software, the exported data are automatically integrated into Bizint. You can include, if you want, the drawing of 1st page, the custom user fields, notes, date of first reading, import date, the date of updating or the ranking.

Vantage Point Format (only for families of patents): this format requires the Vantage Point software.You can export in the complete format or custom, assorted or not with the drawing of 1st page in .tif or .png, with fields in the short format (code) or Complete format (whole name).

Ris Format(only for families of patents): this format requires the software EndNote.

Intellixir Format (only for families of patents): this format exports a compact XML file with links to the 1st page drawing. The export contains the following fields : the numbers, the title in English, the inventors, the applicants, the ranking, the short designation in English, the key information, claims and citations.

If the export options are selected, the button Next will give you access to the second page.

Delivery

Two delivery methods are available:

      Download : you can download the files and then save them. The message "Click here to download the file" is a link for downloading.

      Email: Exported results may be sent by email.  The sender address cannot be modified. The receiver address, by default, is the one indicated in your User Settings/General.  Other addresses may be added, separated by a semicolon.  Comments may also be included.  The email will also contain the database name, number of documents exported and link to download the file. The link will remain active for 30 days. For large files, the attachment will automatically be replaced by the link (3000 KB limit for attachments). You will receive the prompt “Export sent by email to XXX@YYYY.GGG “once the export is complete.

      Compressed file: This option is available both for downloading and sending email. On the other hand, it is mandatory for the TXT and full XML formats if the Cover Page Drawings option is checked. 

The Finish button confirms your export. 

The Back button lets you go back to the data page and edit the data or the export template.

At all times, the Cancel button closes the window of the Export assistant and cancels your export.

Save export profile

From the second page of the export assistant, you can name your export and save it. 

If the format used in the export will be one that is used multiple times, you may elect to save the export profile.  Export profiles are stored in Exports and under My export profiles.

The My Export Profiles option lets you change a saved profile. You can then edit it and save those changes or decline to save them.
